Fund Administrator
A fund administrator is an independent service provider that maintains a fund’s books, calculates NAV, services investors and supports audit and regulatory reporting.
A fund administrator acts as the independent record-keeper for an investment fund. Core services usually include fund accounting and NAV calculation, fee calculations, investor accounting and capital account maintenance, transfer agency, investor onboarding including KYC and AML checks, financial statement preparation and audit support.
Investors and regulators value administrator independence because it separates custody of the books from the manager making investment decisions. Many institutional allocators will not invest in a fund that self-administers, and an administrator is often named in the private placement memorandum and reviewed during operational due diligence.
Pitfalls when appointing or working with an administrator include unclear service-level agreements, ambiguity over who owns pricing decisions, weak reconciliation of the administrator’s books to the manager’s IBOR, and underestimating the effort of migrating historical data when switching providers. Scope should be documented line by line, from wire approval rights to the format and timing of the monthly NAV pack.
