Real estate fund accounting from property ledger to investor report

Real estate managers hold assets through layers of entities, lenders and partners. Fundtec connects property-level results to fund-level NAV and investor capital accounts.

In one minute

What

Real estate fund accounting consolidates results from property-level entities into a fund-level NAV and investor capital accounts. It covers rent and operating income, capital expenditure, property debt, joint venture waterfalls, valuations and investor reporting. Fundtec provides real estate fund accounting and operations support for sponsors and managers of closed-ended, open-ended and REIT-like vehicles, on Tychi or the client’s systems.

Who it’s for

Managers running this strategy who want administration and operations that already understand its accounting, valuation and investor-reporting demands.

What happens first

A 30-minute scoping call, then a written plan: scope, the transition timeline and indicative pricing. No generic proposal.

Property-level versus fund-level accounting

Real estate funds usually keep two layers of books. Property-level accounting, often run by a property manager, records rent, recoveries, operating expenses, capex and mortgage payments for each asset. Fund-level accounting records the fund’s investment in each property or holding entity, fund expenses, fund-level debt, fair value changes and investor capital accounts.

The work sits in the connection between them. Property manager reports must be reviewed, mapped to the fund chart of accounts, reconciled to bank statements and rolled up through holding companies and joint ventures. Fundtec builds that mapping once, reviews property packages each month or quarter, and produces a fund NAV that ties back to every asset.

How JV waterfalls and promotes are handled

Most real estate sponsors co-invest with capital partners through joint ventures. The operating agreement sets a preferred return, often expressed as a hurdle rate, followed by one or more promote tiers that shift a larger share of profit to the sponsor as returns rise. The promote works like carried interest at the asset level.

Fundtec models each JV waterfall directly from the agreement, tests it against historical distributions and runs a hypothetical liquidation each quarter to accrue the promote. Partner capital statements, fund-level NAV and the sponsor’s own books all draw from that one model, so the JV partner, the fund’s investors and the auditor see figures that agree.

Consolidation through holding structures

Properties are often held through several layers of holding companies, lenders and JVs. Fundtec keeps a general ledger for each entity, eliminates intercompany balances and rolls results up to the fund, so every figure in the investor report traces to a property ledger.

Frequently asked questions

What is the difference between property-level and fund-level accounting?

Property-level accounting records the operating results of each building: rent, expenses, capex and mortgage payments. Fund-level accounting records the fund’s investment in each property, fund expenses, fund debt, fair value changes and investor capital accounts. Fundtec connects the two by mapping property reports to the fund’s chart of accounts.

Can Fundtec calculate JV promote waterfalls?

Yes. Fundtec models joint venture waterfalls from the operating agreement, including preferred return, multiple promote tiers, catch-up provisions and partner capital accounts. Each distribution and hypothetical liquidation is run through the same documented model, so the sponsor and JV partner can each trace the promote calculation.

Do you replace our property managers?

No. Property managers continue to run leasing, tenant billing and building operations. Fundtec reviews their monthly or quarterly reporting packages, reconciles cash, questions unusual items and incorporates results into the fund books. Where no property manager exists, Fundtec can keep property-level books directly.

How do you handle real estate valuations?

Fundtec tracks appraisal dates, rolls forward values between appraisals using capex and agreed assumptions, reconciles to independent appraisals and records fair value adjustments at fund level. The valuation conclusion remains the manager’s responsibility under its policy, supported by the appraiser and reviewed by the auditor.

Can you support open-ended or REIT-like real estate vehicles?

Yes. Open-ended and REIT-like vehicles need a periodic NAV, subscription and redemption processing and regular distribution calculations. Fundtec supports these alongside closed-ended funds. Tax qualification and REIT status are matters for the manager’s tax advisers; Fundtec provides the income and distribution data they need.

How long does it take to onboard a real estate fund?

Onboarding time depends on the number of entities, property managers and JVs, and the quality of historical records. A typical engagement starts with entity mapping and chart of accounts design, then a parallel close before handover. Fundtec confirms each phase gate with the client before moving to the next.
