Managed Investment Operations

Investor services for funds, from subscription to statement

Investors judge a fund by how it treats them: how fast they are onboarded, how accurate their statements are and how quickly questions are answered. Fundtec’s investor services team runs that experience for you.

In one minute

What

Fund investor services are the operational processes that manage a fund’s relationship with its investors: onboarding and subscriptions, redemptions and transfers, capital call and distribution notices, investor statements, KYC and AML refresh, FATCA and CRS classification support and investor queries. Fundtec provides investor services as part of its managed investment operations: our platform and a dedicated team, working to the manager’s or administrator’s policies.

Who it’s for

Managers and administrators who need dedicated operating capacity inside their own systems, without adding permanent headcount.

What happens first

A 30-minute scoping call, then a written plan: scope, the transition timeline and indicative pricing. No generic proposal.

What fund investor services cover

Every fund has an investor register to maintain, money coming in and going out, and investors who want accurate statements and quick answers. For open-ended funds that means subscriptions, redemptions and transfers on dealing days. For closed-ended funds it means capital calls, distributions and capital account statements. In both, every investor must be identified and screened under KYC and AML rules and classified for tax reporting.

Fundtec runs investor services as part of its managed investment operations for managers, fund administrators and placement agents. The team works on our platform and connects to your investor register, CRM or portal, to your policies, while the appointed administrator or transfer agency retains its regulatory role.

How investor onboarding works

  1. Receive documents

Subscription documents, KYC evidence and tax forms are logged against the investor and fund.

  2. Check completeness

Documents are checked against the fund’s requirements and the private placement memorandum; missing items are requested.

  3. Screen and risk-rate

Investors and related parties are screened for sanctions and PEP status and risk-rated under your AML policy.

  4. Classify for tax

FATCA and CRS status is determined from self-certifications and recorded.

  5. Approve and match cash

The file goes to the manager or administrator for approval; subscription cash is matched before the dealing or closing date.

  6. Record and confirm

The investor is added to the register and a contract note or acceptance confirmation is issued.

Investor services in the wider operating model

Investor data flows into everything else: fee calculations, side letter terms, capital accounts and the NAV. Fundtec’s investor services team works with our shadow accounting team so investor-level allocations and fees are checked against the same register. Managers appointing a full administrator should see hire a fund administrator; US managers with tax reporting needs should see file your K-1s.

Frequently asked questions

What do fund investor services include?

Fundtec’s fund investor services include subscription, redemption and transfer processing, capital call and distribution notices, investor statements, KYC and AML onboarding and refresh, FATCA and CRS classification support, investor query handling, DDQ support and investor portal administration. The scope is agreed per fund and delivered by a dedicated Fundtec team on our platform.

Does Fundtec act as a transfer agent?

Fundtec runs investor services processes on its platform, or inside the client’s or administrator’s systems where preferred, but does not itself act as a regulated transfer agent or hold investor money. Where a fund needs a licensed transfer agent or administrator, that role stays with the appointed provider, and Fundtec’s team supports it or supports the manager’s oversight of it.

How do you handle KYC and AML refresh?

Fundtec tracks every investor’s risk rating and document expiry dates, runs periodic refresh on the cycle set by your AML policy, re-screens investors and related parties and chases missing or expired documents. Files are prepared for approval by your designated compliance officer or the administrator, who retain the final AML decision.

Can you help with FATCA and CRS classification?

Yes. Fundtec collects and reviews self-certification forms, flags inconsistencies with other onboarding information and records each investor’s FATCA and CRS status for the fund’s reporting. Fundtec does not provide tax advice; complex classifications are referred to the fund’s tax advisers, and filing responsibility remains with the fund or its appointed provider.

How are capital call notices prepared?

Capital call notices are calculated per investor from the call amount, each investor’s commitment and the terms of the LPA and any side letters. Fundtec prepares the notices, has them reviewed under maker-checker control, issues them through the portal or email, then matches incoming cash and reports late or short payments to the manager.

Who answers investor queries?

The Fundtec team monitors a dedicated investor mailbox or portal inbox, logs each query and responds within the agreed SLA on balances, transactions, statements and documents. Queries about investment performance, strategy or anything requiring manager judgment are routed to the manager’s investor relations team with context attached.
