Working with Fundtec

What is the minimum fund size Fundtec works with?

Fundtec does not set a single minimum fund size. It works with first-time emerging managers launching small vehicles as well as established managers and administrators with large books. Scope and pricing are sized to the fund, and emerging managers often start with a narrower service that expands as assets and investors grow.

Can we start with one service and add more later?

Yes. Many clients begin with a single process, such as reconciliation or shadow accounting, and add trade operations, treasury or investor services once the first pod is running well. Additional services are onboarded using the same phased method, and the existing operational handbook and governance cadence are extended rather than rebuilt.

Does Fundtec work with managers outside the United States?

Yes. Fundtec supports managers and funds across the major fund jurisdictions, including offshore centres such as the Cayman Islands and BVI, European domiciles such as Luxembourg and Ireland, and Asian and Middle East centres such as Singapore, DIFC and ADGM. Client coverage runs from New York and Dubai, with delivery from India.

How does Fundtec communicate with our team day to day?

Each client has a dedicated project manager who runs a short daily huddle and a weekly review with an open-items log. Day-to-day communication happens through the channels the client prefers, such as email, chat or the client’s ticketing tool. Monthly SLA reviews and quarterly business reviews add senior oversight.

Can Fundtec work with our auditors?

Yes. Fundtec supports year-end audits by preparing schedules, reconciliations, confirmations and supporting records and by answering auditor queries within the scope agreed. Documented procedures and a full audit trail make it easier for auditors to follow balances back to source. Fundtec does not provide audit services itself.

Fund administration

What is included in Fundtec’s fund administration service?

Fundtec’s fund administration covers investor services including KYC and transfer agency, treasury and cash, trade and portfolio operations, fund accounting and NAV, investor accounting such as capital accounts and equalization, reporting and valuation, audit and compliance support, and regulatory filings. The exact scope is set per fund and documented before go-live.

How often can Fundtec calculate NAV?

Fundtec calculates NAV at the frequency the fund documents require, from daily to monthly, quarterly or annually. Liquid hedge funds commonly strike monthly or more frequently, while closed-ended private funds often report quarterly. The cadence, cut-offs and delivery timelines are agreed in the service level agreement for each fund.

Which platform does Fundtec use for fund administration?

Funds administered by Fundtec typically run on Tychi, Fundtec’s proprietary AI-enabled fund accounting and operations platform. Tychi provides a double-entry general ledger, investor records and portal, automated accruals and integrated reconciliations. No per-seat licence cost is passed to clients.

Does Fundtec act as transfer agent and handle investor KYC?

Yes, within its administration scope. Fundtec handles investor onboarding, KYC and AML checks, FATCA and CRS classification, subscriptions, redemptions and transfers, and maintains the investor register. Where a jurisdiction requires a licensed entity for a specific activity, that service is delivered by an appropriately licensed provider.

Can Fundtec administer both hedge funds and private equity funds?

Yes. Fundtec administers open-ended funds with periodic subscriptions and redemptions and closed-ended funds with capital calls, distributions and waterfalls. Structures include LP/GP, master-feeder, SPC, multi-share-class and fund of funds, across asset classes from listed equity and derivatives to private credit, real estate and digital assets.

What reports will investors receive?

Investors typically receive periodic statements showing capital account or holding balances, NAV per share or unit, and transaction activity, plus notices for capital calls and distributions where relevant. Reports are published through the Tychi investor portal or other agreed channels. Content and frequency follow the fund’s offering documents.

Managed investment operations and data security

What is the difference between managed investment operations and fund administration?

Fund administration is a full service to the fund on our proprietary platform, Tychi: NAV, accounting, investor services and filings, with Fundtec as administrator of record. Managed investment operations take defined operational functions, such as shadow accounting, reconciliation or investor services, and run them on the same platform with a dedicated Fundtec team, delivering the technology and the service together while your existing administrator and your own sign-off stay in place.

Where is our data stored in a managed investment operations engagement?

In the client’s own systems. Fundtec staff work through client-issued domain accounts over the client’s VPN or remote desktop, with zero local storage of client data. The client grants and revokes access, all activity appears in the client’s audit trail and a data processing agreement is signed before work begins.

What certifications does Fundtec hold?

Fundtec is certified to ISO 9001 for quality management and ISO 27001 for information security. These certifications are externally audited. SOC 1 and SOC 2 attestations are in progress. Fundtec does not yet claim SOC 1 or SOC 2 reports. For due diligence, it provides certificates, procedures, controls descriptions, a business continuity plan and a data processing agreement.

What happens if a pod member leaves?

Every role in a Fundtec pod has a trained backup, and every process is documented in the operational handbook. If a team member leaves or is absent, the backup steps in without a gap in service. Replacement staff are trained against the same handbook, and the pod manager oversees the handover.

Can a Fundtec team work across multiple administrators?

Yes. A pod can reconcile and shadow the output of more than one administrator, prime broker or custodian, aligning its work to each provider’s cut-offs and NAV calendar. This is common for multi-mandate managers who want one independent, consistent view across providers with different formats and timelines.

Pricing and engagement

How does Fundtec price its services?

Fundtec pricing usually has three parts: a phase-linked onboarding fee covering design, parallel run and handover; a monthly base fee for the agreed scope; and a variable element linked to AUM tiers. The structure lets costs track growth in the business rather than stepping up with each additional hire.

What drives the cost of a Fundtec engagement?

The main cost drivers are the number of funds and share classes, asset-class complexity, trade and investor volumes, the number of counterparties and administrators, reporting frequency and whether work runs on Tychi or the client’s systems. These factors set the base fee and AUM tier; Fundtec confirms them during scoping.

Is the onboarding fee paid upfront?

The onboarding fee is typically linked to the transition phases rather than charged in one upfront sum. Payments align with milestones such as completion of onboarding and design, sign-off of the parallel run and completion of handover. The exact schedule is set in the engagement agreement.

What happens to pricing when we add a new fund or counterparty?

New mandates, prime brokers or counterparties trigger pre-agreed adjustments set in the engagement terms, rather than a full renegotiation. The pod absorbs the additional work under the existing operating model, and the variable pricing element moves with AUM tiers as assets grow.

What is the typical contract term with Fundtec?

Contract terms are agreed per engagement and reflect the scope, onboarding effort and client preference. Terms cover service levels, notice periods, data return on exit and the governance cadence. Fundtec sets these out in the proposal that follows the scoping consultation so they can be reviewed alongside pricing.
