What does a hedge fund administrator do?

A hedge fund administrator keeps an open-ended fund's books on a short cycle, often monthly and sometimes daily.

Area What the administrator does
Trade capture and reconciliation Books trades from brokers and the OMS, and runs daily trade reconciliation, position and cash recs against every prime broker and custodian
Pricing Prices listed and OTC positions under the fund's pricing hierarchy
NAV Calculates the NAV by class and series, with a reviewed NAV pack
Fees Calculates management fees, performance fees, high-water marks and crystallization
Investor allocations Runs series accounting or equalization so each investor pays fees on their own gains
Investor services Onboards investors through KYC and AML checks, processes subscriptions and redemptions, and issues statements
Structures Allocates P&L from a master fund to its feeders in a master-feeder structure
Year end and regulation Prepares financial statements, supports the audit and provides data for FATCA, CRS and Form PF

How do you choose a hedge fund administrator?

  1. Write down your fund's profile. Strategy, instruments, prime brokers, NAV frequency, share classes, fee terms and domiciles.
  2. Shortlist across types. Include a large independent or bank-owned firm and a technology-led or specialist administrator.
  3. Run a fee test. Send the same illustrative NAVs, subscriptions and redemptions to each candidate and ask for performance fees by class or series.
  4. Review a sample NAV pack. Check the reconciliations, pricing exceptions and fee workings it contains, and how it is reviewed before release.
  5. Check prime broker connectivity. Confirm the candidate already receives data from your primes, or how long a new connection would take.
  6. Compare the service model. Ask who calculates your NAV, how many funds each person covers and who covers your time zone.
  7. Compare total cost. Get the fee basis, minimum and every add-on at launch size and at target size.

What does a fee test look like?

Here is an illustrative example. A manager asks two candidates to calculate the year-end performance fee for one share class with a 20% fee and a high-water mark of USD 105.00. The class closes the year at USD 115.00 per share before the fee, with 400,000 shares in issue.

Item Correct answer Candidate A Candidate B
Gain above high-water mark per share USD 10.00 USD 10.00 USD 15.00 (ignored the mark)
Fee per share at 20% USD 2.00 USD 2.00 USD 3.00
Total fee for 400,000 shares USD 800,000 USD 800,000 USD 1,200,000
NAV per share after fee USD 113.00 USD 113.00 USD 112.00
New high-water mark USD 113.00 USD 113.00 USD 112.00

Candidate B overcharged investors by USD 400,000 because it measured the gain from the start-of-year NAV of USD 100.00 rather than from the high-water mark. A simple test like this shows more than a presentation. Every figure here is illustrative. Our guide to management and performance fee calculation explains each step.

Should a hedge fund also use shadow accounting?

Many managers keep an independent set of books alongside their administrator. Shadow accounting recalculates the NAV and fees each period, so the manager can sign off with confidence and answer investor questions. It is common for multi-strategy funds, funds with complex fees and managers who have recently switched administrator.

Where does Fundtec fit?

Frequently asked questions

Who are the top hedge fund administrators?

Top hedge fund administrators include Citco and SS&C GlobeOp, the fund services arms of BNY, State Street, J.P. Morgan, Morgan Stanley, Northern Trust and MUFG, and independents such as Apex Group and NAV Consulting. Technology-led administrators such as Fundtec serve emerging and mid-market managers. Rankings change yearly, so compare candidates on your own fees and prime brokers.

What does a hedge fund administrator do?

A hedge fund administrator books and reconciles trades, cash and positions against prime brokers and custodians, prices the portfolio, calculates the NAV by class or series, calculates management and performance fees, runs equalization or series accounting, onboards investors, processes subscriptions and redemptions, and prepares financial statements and regulatory data.

How much does hedge fund administration cost?

Hedge fund administration is usually priced in basis points on assets under administration, subject to an annual minimum, with add-ons for services such as AML and KYC or regulatory filings. NAV frequency, the number of prime brokers, share classes and instruments drive the fee. Ask each candidate for a fee schedule at launch size and at target size.

What is the difference between a hedge fund administrator and a prime broker?

A prime broker provides financing, securities lending, execution and custody to a hedge fund. A hedge fund administrator keeps the fund's books independently, calculates the NAV and fees, and maintains investor records. The administrator reconciles the fund's records to the prime broker's reports, so the two roles act as a check on each other.

Do emerging hedge fund managers need an administrator?

Yes. Investors, auditors and many regulators expect an independent administrator from launch, and allocators treat self-administration as a due diligence concern. An administrator also gives a small team documented controls and a clean investor register. Choose one whose minimum fees and service model suit a first fund.
